HOW TO USE SECTIONS 2 AND 3.
[Male Speaker]
This short video will show you how to use Section 2 and three of the Department of Education Online Transition Learning and Development Statement.
Section 2 and 3 are combined onto the one page.
Section 2 is to be completed by the child and Section 3 is to be completed by the parent or guardian.
There are two options to supply a partial copy to the family, who can either use the Create New link to allow families to complete either or both the sections online. Or select Download PDF form to download and print a draft statement.
This is a copy for manual completion by the parents that you can then upload back into the online TLDS.
Use the Create New Link function to generate a unique online link that can be shared with a parent or guardian for online completion of the sections.
The link will expire in 14 days and can be refreshed if necessary.
Next to the link’s URL is the Copy Link button.
Click on this button to copy the link to your clipboard.
You can then paste the link into an email and send it to the parents.
Use the Deactivate Link button to deactivate the link prior to the 14 days expiry, and you can also click the Reactivate button to reactivate an expired link if the parents require more time.
When you click the Copy Link button, the web page will let you know it's copied to the clipboard and you can immediately paste it into an email.
Let's take a look at what the parents will see and what they will need to do after clicking the link.
First, they must verify using the child's date of birth.
Under the Your Child's TLDS section, the View button allows the parent to view the draft statement in its current form.
Under Section 2, The Child, the Open button allows Section 2 to be completed.
The assisting adult can click into the fields and type, identifying themselves and then transcribing the child's answers.
The child's drawing button allows a scan or photo of the child's work to be uploaded.
The assisting adult can click Save as they progress.
When completed, clicking Submit will lock the section and add the section to the online TLDS statement.
Section 2 is now marked as submitted and cannot be edited.
Section 3 can be completed by parent in a similar manner.
This section is long, so advise the parent to save regularly to avoid the page timing out and losing their work.
Once the contributing parent has clicked submit on either or both the sections, those sections will no longer be editable or accessible.
The second method to allow the family to complete sections 2 and 3 is to use the Download PDF function to generate a draft PDF file with blank sections for the family.
To do this, click on the Download PDF Form button.
It will be available as a link in the popup.
Open the PDF in a new browser tab.
Use the download button in the preview to save the PDF and rename the document to a file you will recognise.
The saved PDF can now be attached to an email and sent to the family for them to print out, fill in and return to you.
Or you can print the PDF and hand them the physical copy.
Once the family have returned their draft copy, you'll need to scan sections 2 and 3 from it and then send the PDF scan to your computer.
You can then log back into the online TLDS, browse back into the statement for the child and use the upload button here to upload those sections back into the draft online statement.
Once the invitation for Child and Family contributions are concluded, review the lowest section to progress the draught.
Confirm that the check boxes are completed correctly as these are reflected in the final statement and then you can click Save and continue.
