HOW TO USE CREATE NEW LINK

This short video will show you how to use the Create New Link tool on the Department of Education Online Transition Learning and Development Statement, the Online TLDS.

Section 2 and 3 are combined onto the one page.

Section 2 is to be completed by the child and Section 3 is to be completed by a parent or guardian.

There are two methods you can use to complete the Child and Family sections.

Both are available here on the Section 2 and 3 page of a child statement.

The Method 1 uses Create New Link to allow parents or guardians to review the Educator and Specialist sections online and to complete either or both the child and family sections from a web browser on their computer or from a mobile device.

Method 2 uses Download PDF form to download a draft statement to be printed and filled out in hard copy before scanning to PDF and uploading the scan back into the online TLDS.

Method One Creates New Link is the preferred method as it avoids printing, scanning, managing files and paper waste. Once you're familiar with the steps, this may save you time.

Creating a link in the online TLDS does not automatically send it to the family.

Links are active for 14 days after you create them.

You can refresh a link to make it available again.

Each refresh activates the link for 14 days.

You can deactivate links early and you can delete unused links.

The steps to use the links are as follows.

Use the Create New Link button to create a unique hyperlink that you can share with the child's family.

Use your mail program to compose an email address to the family.

Use the Copy Link button to copy the link to the computer's clipboard, then paste the link into the draft email.

Send the email and explain to the family they have 14 days to complete the sections and each section will lock once they click it’s submit button.

Use the online TLDS to review which links have been worked on or completed by the family and refresh the links if they need more time.

Let's review what the recipient will see and will need to do after they click the link.

Once the link launches in their browser, they will need to first verify using the child's date of birth.

Under the Your Child's TLDS section, the View button allows them to review the current contents of the draft statement.

Under the Section 2 of the child, the Open button allows Section 2 to be completed.

The assisting adult can click into the fields and type, identifying themselves and then transcribing the child's answers.

The child's Drawing button allows a scan or photo of the child's work to be uploaded.

The assisting adult can click save as they progress.

When completed, clicking submit will lock the section and add it to the online TLDS.

Section 2 is now marked as submitted and cannot be re-edited.

Section 3, the family can be completed in a similar manner.

This section is longer, so advise the contributor to use the save button if it requires more than one sitting.

While you are waiting on parents to complete their sections, you can click on the Review Links button.

Here you can review the status of each family's link, whether they have completed the sections online, and when their links are due to expire.

If the family doesn't complete the sections within 14 days, you do not need to generate a new link to send to the family.

Just refresh the current link from here and instruct the family to reopen the link from the original email you sent them.

When using review links to manage the family's progress, use the year and group filters to reduce the number of profiles or to view the links from a specific group of statements.
