Accessing administrative school records
The location of administrative school records can vary depending on the type of record and when it was created. Contacting the school or the department’s records team can be the best place to start your search.
Contact the school if it is still open as they hold some records onsite. If you’re not sure if the school is still open, you can check the Victorian Government Schools Directory.
Some records from open schools may have been transferred to the Department of Education’s archive.

Public Record Office Victoria
Some records have been transferred to the Public Record Office Victoria (PROV). Access to records is either open or closed to all.
- Open access records can be ordered directly from PROV.

School websites
Some schools make certain records, such as policies or photographs, available on their websites.
State Library Victoria
The State Library Victoria holds some historical education records, including:
- school histories
- school magazines and yearbooks
- a limited collection of copies of school records, such as microfilm copies of Grassmere Primary School council records, and microfilm copies of teacher lists and inspectors’ reports.
Search the State Library Victoria online catalogue using the name of the school.
